Terms & Conditions - Long Stay
Beautiful Apartments is pleased to partner with your organization in providing serviced accommodation in Sweden. By confirming a booking and signing a Tenancy Agreement, the Tenant accepts and agrees to ensure compliance with the following Terms & Conditions:
Part A – General
1. Definitions
- BA refers to AB Beautiful Apartments i Nacka (organization no. 556857-3314), the landlord.
- Tenant is the company or organization entering into a Tenancy Agreement with BA.
- Resident is the person residing in the apartment. Where the Tenant is a company, the Resident is the employee or assignee designated by the Tenant to occupy the apartment. The Tenant remains fully responsible for the Resident’s compliance with these Terms & Conditions.
All pricing is quoted in SEK. Rent is stated excluding VAT; services are subject to 25% VAT unless otherwise specified.
Part B – Booking & Tenancy Agreement
2. Booking Requirements
To submit a booking request, the Tenant must meet the following criteria:
- The company must have at least 10 employees.
- The company must have an annual turnover of at least 10 million SEK.
- The company must have no outstanding payment debts.
BA may request a company credit check or additional verification documents, such as power of attorney. The person signing the agreement must be duly authorized to sign the Tenancy Agreement.
3. Tenancy Agreement
A booking becomes binding only once BA has issued a written booking confirmation or/and a tenancy agreement. The Tenant is the Tenancy Agreement party and is responsible for ensuring that the Resident follows all Terms & Conditions.
4. Tenancy Duration
The minimum tenancy period is one (1) year. Upon expiry of the first year, the tenancy may be extended by up to one (1) additional year, subject to written agreement between the parties. The maximum tenancy period is two (2) years from the initial Tenancy Agreement’s start date.
Part C – Pricing & Payments
5. Payments & Invoicing
The first month’s rent must be paid prior to arrival. Subsequent months are payable monthly in advance. The standard payment method is company invoicing.
- Card payments incur a minimum surcharge of 3.5%.
- Bank transfers require a 7-day processing allowance.
Late payments incur penalty interest in accordance with the Swedish Interest Act (6 § Räntelagen).
6. Deposit
A rental deposit may be required, typically equivalent to one (1) month’s rent, although the amount may vary depending on the circumstances. The deposit is refunded within four (4) weeks after a satisfactory move-out inspection and settlement of all outstanding invoices.
7. Electricity & Wifi
Wi-Fi and electricity may be included in the rent as specified in the Tenancy Agreement. Where electricity is included, a usage allowance applies. Any consumption exceeding the stated allowance will be invoiced separately to the Tenant.
Part D – Changes, Cancellations & Notice Periods
8. Changes, Cancellations & Extensions
All cancellations, changes, or extensions must be submitted in writing by email to longstay@beaps.se during office hours (Mon–Fri, 08:00–16:30). Telephone requests will not be accepted. Notice periods always refer to calendar months.
Cancellation terms:
- Cancellation 3 calendar months’ or more before arrival: free of charge.
- Cancellation 90–1 days before arrival: 3 calendar months’ rent charged.
- Early termination during the stay: 3 calendar months’ rent charged in accordance with the notice period.
If a reduced stay is agreed, it may result in an adjusted rental rate.
Extensions:
Extension requests are treated as new booking inquiries and are subject to availability. BA may offer an equivalent apartment. Rates and cancellation terms may be adjusted based on the new length of stay.
9. Arrival & Departure
Check-in is available from 3:00 PM; check-out must be completed by 10:00 AM at the latest. Early or late check-in/check-out may be possible depending on availability.
Failure to check out on time may result in an additional night’s charge. If the delay prevents the next tenant from moving in on the scheduled date, BA reserves the right to invoice the Tenant for any resulting costs and losses.
Part E – Apartment Use & Responsibilities
10. Resident Behaviour
Residents must use the apartment for residential purposes only and refrain from illegal or disruptive activities. Residents are required to behave in a responsible manner, make careful use of the apartment and respect other residents in the building. Quiet hours are 10:00 PM to 9:00 AM.
BA reserves the right to immediately terminate the Tenancy Agreement if the behaviour of the Resident, at BA’s sole discretion, is likely to endanger the safety or well-being of other residents. Immediate termination may also occur due to Tenancy Agreement breaches, violations of the Swedish Rent Act, or the House Rules.
11. Accommodation & Insurance
For insurance and safety reasons, the total number of people staying in the apartment must not exceed the maximum occupancy as specified in the Tenancy Agreement.
The Resident is responsible for maintaining:
- A valid third-party liability insurance covering the entire rental period.
- Insurance covering all personal belongings for the duration of the stay.
BA does not assume any responsibility for personal belongings left behind in the apartment upon departure. Any costs related to damage to the apartment caused by the Resident or removal of items left behind will be borne by the Tenant.
12. Smoking & Pets
Smoking: BA maintains a strict non-smoking policy. Smoking is prohibited in all apartments and throughout the entire building, including entrances and stairwells. Should the non-smoking policy be violated, BA reserves the right to impose a sanitation charge starting from 5,000 SEK (excl. 25% VAT) to cover the cost of deep cleaning.
Pets: Pets are only permitted in designated pet-friendly units and are subject to prior approval. A pet sanitation fee of a minimum of 5,000 SEK (excl. VAT) applies. An additional deposit will be required, typically equivalent to one (1) month’s rent, although the amount may vary. Residents must maintain cleanliness to avoid further damages and extra charges.
13. Pest Control
Beautiful Apartments follows established hygiene and pest-management procedures. Should pests be detected in any area of the property, Beautiful Apartments reserves the right to close affected rooms or areas and arrange professional pest-control treatment. Beautiful Apartments will take all reasonable measures to resolve the matter promptly.
14. Reporting of Damages
Residents must report any pre-existing damages or defects within the first three (3) days of arrival to avoid liability for those issues upon departure. Contact guestservice@beaps.se for any issues. Information and instructions regarding the apartment will be provided upon arrival.
15. Loss or Damage
The Resident is responsible for taking all reasonable care of the apartment and its contents. The apartment and all equipment, utensils, and furniture must be left clean and tidy at the end of the rental period. No items provided by BA may be removed from the apartment.
Except for normal wear and tear, the Resident will be held responsible for any damage caused to the apartment or its contents due to negligence, intentional damage, irresponsible or accidental behaviour on the part of the Resident or their visitors. Such damage must be reported to BA without delay.
If breakages, missing items, or damage are discovered, or that additional cleaning is required after the Resident’s departure, BA will notify the Tenant in writing with details and will invoice the Tenant for the cost of rectification.
16. Keys & Security
Keys and door codes are provided upon arrival. The Resident is responsible for safekeeping these at all times and for returning them on the day of departure. Loss of keys must be reported to BA without delay.
Residents may not change, remove, or install locks. Violations may result in restoration charges. Replacement costs and lock changes will be invoiced accordingly.
17. Apartment Condition & Restoration
The apartment must be restored to its original condition upon move-out, except for normal wear and tear. Further details regarding general conditions are set out in the Tenancy Agreement and will be communicated upon arrival.
18. Inspections During Stay
BA reserves the right to inspect the apartment every four (4) to eight (8) months on weekdays between 9:00 AM and 5:00 PM, with prior notice provided whenever possible.
19. Final Cleaning (Move-Out)
Final cleaning is performed by BA at a cost starting from 395 SEK/hour (excl. VAT). The charge depends on the location of the property. Rates are subject to change.
Part F – Other Provisions
20. After-Hours Emergency Assistance
Outside of regular office hours and during weekends, Residents may contact BA’s external on-call service provider, Securitas, for urgent matters requiring immediate attention. Please note that additional charges will apply depending on the nature of the issue and the services required.
21. Privacy Statement
BA processes personal data only for booking administration, communication, and legal requirements.
BA staff may enter the apartment in cases of emergency, for maintenance, or for agreed inspections, using a master key if required.
22. Liability
While BA endeavours to provide all services, including those delivered by external providers such as Tele2, Telia, Fortum, Stockholm Vatten, and others, BA cannot be held responsible for any loss or service failure attributable to external service providers, as these are outside BA’s control.
23. Subletting & Assignment
The Tenant may not sublet, assign, or otherwise transfer the Tenancy Agreement, or permit any person other than the designated Resident to occupy the apartment, without BA’s prior written consent. Any unauthorized subletting or transfer shall constitute a material breach of the Tenancy Agreement and may result in immediate termination.
24. Force Majeure
Neither party shall be liable for any failure or delay in performing its obligations under the Tenancy Agreement to the extent that such failure or delay is caused by circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, government restrictions, armed conflict, fire, flooding, or prolonged utility failures (“Force Majeure Event”). The affected party shall notify the other party in writing without undue delay. If a Force Majeure Event continues for more than thirty (30) consecutive days, either party may terminate the Tenancy Agreement by written notice without further liability, except for obligations already accrued.
25. Notices & Communication
All formal notices, including cancellations, extensions, and termination notices, must be submitted in writing by email to longstay@beaps.se during office hours (Mon–Fri, 08:00–16:30). Maintenance requests, damage reports, and day-to-day service matters should be directed to guestservice@beaps.se. Notices sent outside of office hours are deemed received on the next business day. The Tenant is responsible for providing BA with a valid email address for correspondence and for ensuring that any notices from BA are received and acted upon in a timely manner.
26. Governing Law & Disputes
These Terms & Conditions and the Tenancy Agreement shall be governed by and construed in accordance with the laws of Sweden. Any dispute arising out of or in connection with the Tenancy Agreement shall be settled by the competent general courts of Sweden, with the District Court of Stockholm (Stockholms tingsrätt) as the court of first instance.
27. Governing Language
These Terms & Conditions are provided in English and Swedish. In the event of any discrepancy between the two versions, the Swedish version shall prevail.
28. Severability
If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
